Description:

  • Responsible for managing and negotiating maintenance contracts with vendors and suppliers;
  • Responsible for automating and  monitoring all Service Level Agreements (Service / Maintenance) including Lease agreements;
  • Responsible for liaising with the Legal Department to establish the Service Level Agreements for all service providers and suppliers and monitor its compliance;
  • Responsible for maximizing the best value for money for companywide procurement activities and in line with the company’s policies and procedures;
  • Responsible for delivering all administrative services in the most efficient manner to facilitate the functions of other departments;
  • Responsible for managing all insurance related issues and advising on the appropriate cover to put in place;
  • Responsible for monitoring, supervising and ensuring safety and health measures are incorporated into all business office development;
  • Responsible for developing and maintaining up-to-date, effective security measures to protect the Company’s properties and staff;
  • Responsible for safeguarding all company’s assets and ensure regular maintenance schedule is developed and adhered to;
  • Responsible for maintaining clean surroundings on daily basis throughout the day in all of the branches and head office;
  • Responsible for proper management and efficient utilization of stores;
  • Responsible for the efficient running of the company’s fleet of vehicle;
  • Responsible for ensuring adequate records of fleet management/movement, and putting in place policies/structures to guard against abuse;
  • Responsible for ensuring all drivers of company’s vehicles have read and fully understood the Vehicle Usage Policy;
  • Responsible for ensuring all basic checks are completed such as fluid levels, brakes etc. on a daily basis and logged in Vehicle Maintenance Log Book.
  • Responsible for ensuring all vehicle log books are correctly filled in for all journeys and checked against the Fuel Log book on weekly basis;
  • Responsible for managing vehicle usage ensuring all employees and drivers comply with the organisation Vehicle Usage Policy and any accidents or damaged are fully and promptly reported to senior management;
  • Responsible for ensuring all vehicles are roadworthy and have valid motor insurance cover;
  • Responsible for managing the sale and purchase of any organisational vehicles with the support of the Head of Finance and Managing Director;
  • Responsible for managing all protocol assignments of the Company including hotel, flight and logistics for staff and all visitors;
  • Responsible for all procurement of equipment and other office supplies and the delivery to their destinations;
  • Responsible for the purchasing and organization of supplies for all new branches;
  • Responsible for the management of fuel consumption (generator /office vehicles);
  • Responsible for the administration of purchase orders;
  • In-charge of organisation of staff and company events including end-of-year staff parties;
  • Assist the Head of New Business in the administration of marketing materials and placing of adverts;
  • Management of Izwe’s yearly scholarship program;
  • Co-ordinate with telecommunication company’s on the management of senior and middle managers telephone plans;
  • Responsible for the administration and management of the various keys of the company as well as the key register;
  • Responsible for the monitoring and management of utility usages and maintenance companywide
  • Any other duties as assigned by the Head of Finance or Management.
